    Coach - Technical Official - Club/Club Official - Team Manager - Athletes

    INSURANCE COVER FOR COACHES
    As a coach* who acts on behalf of an affiliated club or organisation, you are automatically provided with insurance cover which applies while you are involved in "athletics activities". This not only relates to training, but also club / region administrative meetings, social and other club fund raising activities organised by the club. It does not, however, cover hazardous activities - bonfires, parachuting, bungee jumping etc. - even if they are organised at or by an athletics club.
     
    Please Note:
    *In respect of the Public Liability insurance, the term "coach" is defined as being a person who is qualified to give advice or instruction or who is in the course of his / her qualification. It covers unqualified people only as long as they are under the direct control of a qualified coach and are merely carrying out instructions given to them by that coach.
    Coaches acting in a professional capacity (i.e. those who are paid for their services) are not covered by the policy, apart from those employed by UK Athletics or the regional coaching committees, or are working under the direction of an employee of UKA or body affiliated to UKA.
     
    This pamphlet tells you what insurance cover is provided, what to do if you ever need to make a claim, and the additional cover that it would be wise for you to consider arranging personally.
     
    WHAT COVER IS PROVIDED?
    A. PUBLIC & THIRD PARTY INSURANCE
    This policy relates legal liabilities of coaches, in respect of those activities mentioned.
     
    The amount of cover provided for any one incident is up to £10,000,000, in the case of property damage the first £750 of any claim is not covered.
     
    In the case of negligent advice, the cover is £1,000,000 (10% excess).
     
    The policy covers activities within Great Britain and Northern Ireland, and is extended to worldwide when the coach is part of a representative team.
     
    The following are examples of where cover would apply, subject to legal liability being proven:
    oBodily injury suffered by an athlete from the same club.
    oBodily injury suffered by a member of a visiting club.
    oDamage to material property belonging to a third party.
    oDamage caused to leased / rented premises and facilities.
    oInjury caused as a result of incidental first aid administered.
     
    GENERAL POINTS TO NOTE
    oThis is not a personal accident policy, liability for injury or damage has to be established (if an athlete trips over their own shoelaces and breaks an arm, unless they can prove that another athlete or a club was to blame there is no cover).
    oThere is no age limit applied to the cover.
    oInjury arising from medical or physiotherapy treatment is covered by the practitioners' insurance, not this policy.
    oIf injury or damage is caused by a deliberate act or omission there is no cover.
    oDamage to or loss of a coach's personal property may be covered by travel insurance, but is never covered by this policy.
     
    B. - PERSONAL ACCIDENT INSURANCE
    This policy covers coaches (over the age of 16 years) when they are traveling directly to and from events organised or recognised by U 1K Athletics, as part of the representative team. Personal accident cover does not depend upon proof of legal liability and, provided that there has been genuine personal injury that was not self-inflicted, benefits will be paid out.

    C. - TRAVEL INSURANCE
    This policy covers coaches undertaking journeys outside the UK as a member of a representative team.
     
    COVER PROVIDED
    Medical expenses abroad£1,000,000
    Additional travel£10,000
    Costs incurred by cancellation£5,000
     
    The following cover also applies to athletes when they are travelling inside the UK to and from major athletics meetings (promotions and championships of UK Athletics together with regional championships and matches):
    Personal property£2,000 per person
    Money  £500 per person
     
    GENERAL POINTS TO NOTE
    oA £25 excess applies to medical expenses, personal property and money claims.
    oThe Policy excludes pre-existing medical conditions known at the time of booking or travel.
    oThe Policy excludes persons over the age of 70.
     
    WHAT ADDITIONAL PERSONAL INSURANCE SHOULD EACH COACH ARRANGE?
    None of the above policies provides motor vehicle insurance, personal accident when you are not in a representative team, personal property in the same circumstances or premises owned or leased. The personal property may be part of your existing house contents insurance, but you should check with your own broker.
     
    HOW TO CLAIM AGAINST TRAVEL INSURANCE - MONEY/PERSONAL PROPERTY
    oNotify the team manager of the loss immediately and request that the loss is reported to the organisers (if appropriate).
    oAll incidents of theft or disappearance of property must be reported to the local police.
    oMake a note of the circumstances at the time and list all items that are missing, this will help you when you fill in the claim form.
     
    When the team returns from competition, advise UKA (Operations Team) as soon as possible. A claim form will be sent out which must be completed as fully as possible.
     
    WHAT TO DO IN THE EVENT OF A DANGEROUS INCIDENT OR AN ACCIDENT
    In the case of either a dangerous incident or an accident, please complete the U 1K Athletics Accident & Incident Report Form, and notify Peter Sutcliffe, UK Athletics Health & Safety Co-ordinator If this is not available then collect the following information:
     
    oDate & time of accident/incident.
    oDetails of the injured person.
    oName of event and promoter.
    oDescription of accident/incident with diagrams and/or photographs if possible.
    oNature of injuries.
    oDetails of any first aid given and named o( first aid representatives.
    oNames of other persons present.
    oDetails of reporting person.
     
    Copies of he form or information collected, should be sent to the health & safety department at UK Athletics
     
    In the event of theft or disappearance of property or valuables, these should additionally be reported to the local organizer & the local police

    oInjury caused through the sale of food and drink as part of club activities.

    oLiabilities arising from the content of manuals and handbooks issued by UK Athletics or AAA of E.
     
    GENERAL POINTS TO NOTE
    oThis is not a personal accident policy, liability for injury or damage has to be established (if an athlete trips over their own shoelaces and breaks an arm, unless they can prove that an official or a club was to blame there is no cover).
    oThere is no age limit applied to the cover.
    oInjury arising from medical or physiotherapy treatment is covered by the practitioners' insurance, not this policy.
    oIf injury or damage is caused by a deliberate act or omission there is no cover.
    oDamage to or loss of a technical official's personal property may be covered by travel insurance, but is never covered by this policy.
     
    B - PERSONAL ACCIDENT INSURANCE
    This policy covers technical officials (over the age of 16 years, and below the age of 80 years) when they are officiating and travelling directly to and from events organised or recognised by UK Athletics. This includes events staged by affiliated clubs, and permit events.
     
    Personal accident cover does not depend upon proof of legal liability and, provided that there has been genuine personal injury that was not self-inflicted, benefits will be paid out.

    THE ENGLISH SCHOOLS ATHLETIC ASSOCIATION
    The affiliation of the ESAA to UK Athletics provides Public Liability cover (to exactly the same extent as detailed above) for Schools Association promotions and events down to, and including, County level. Events below County level are not included in this arrangement but will normally be covered by the LEA or school involved. If in doubt, technical officials should check with the organising body.
     
    Personal accident and travel insurance is not provided for ESAA promotions under these policies, but it is understood that ESAA have made separate arrangements with other insurers to provide cover. If in doubt, technical officials should check with the meeting organisers.
     
    WHAT ADDITIONAL PERSONAL INSURANCE SHOULD EACH OFFICIAL ARRANGE?
    None of the above policies provides motor vehicle insurance personal accident when you are not in a representative team, or personal property in the same circumstances. The latter may be part of your existing house contents insurance but you should check with your own broker.
     
    HOW TO CLAIM AGAINST TRAVEL INSURANCE - MONEY/PERSONAL PROPERTY
    oNotify the team manager of the loss immediately and request that the loss is reported to the organisers (if appropriate).
    oAll incidents of theft or disappearance of property must be reported to the local police.
    oMake a note of the circumstances at the time, and list all items that are missing, this will help you when you till in the claim form.
     
    When the team returns from competition advise UKA (Operations Team) as soon as possible. A claim form will be sent out which must be completed as fully as possible.
     
    WHAT TO DO IN THE EVENT OF A DANGEROUS INCIDENT OR AN ACCIDENT
    In the case of either a dangerous incident or an accident, please complete the UK Athletics Accident & Incident Report Form, and notify Peter Sutcliffe, UK Athletics Health & Safety Co-ordinator If this is not available then collect the following information:
     
    oDate & time of accident/incident.
    oDetails of the injured person.
    oName of event and promoter.
    oDescription of accident/incident with diagrams and/or photographs if possible.
    oNature of injuries.
    oDetails of any first aid given and named of first aid representatives.
    oNames of other persons present.
    oDetails of reporting person.
     
    Copies of he form or information collected, should be sent to the health & safety department at UK Athletics

    The policy covers clubs within Great Britain and Northern Ireland - including the Channel Islands and the Isle of Man.
     
    The following are examples of where cover would apply, subject to legal liability being proven:
    oAccidental bodily injury to any spectator, official, athlete or visitor.
    oInjury caused through the sale of food and drink as part of club activities.
    oInjury caused as a result of incidental first aid administered.
    oAccidental damage to material property belonging to a third party - for instance damage caused to fences on land being used for a cross country race.

    oThere is no cover provided to non-affiliated clubs, organisations or groups of athletes acting independently of their club. In the case of "Permit Events" the entry fee must contain an element for temporary membership. Fun runs are covered only when they are organized by a permit holding organization, and are specifically mentioned on the issued permit, and are held at the same time as the permit event.
    oInjury arising from medical or physiotherapy treatment is covered by the practitioners' insurance, not this policy.
    oIf injury or damage is caused by a deliberate act or omission there is no cover.
    oDamage to or loss of a club's own property is not covered by this policy, clubs should make separate insurance arrangements for any property they own (Accidental Damage Policy).
    oLiability for injury or damage caused by property owned or leased is not covered. Clubs should
    make separate arrangements for this liability (property owners/occupiers liability).
     
    B - TRAVEL INSURANCE
    This policy covers athletes undertaking journeys outside the UK as a member of a representative UK, national or territorial team and as a member of a club who by virtue of having won a preceding national team Championship are nominated to be the British representative in a European Clubs Competition. A representative team is defined as one competing abroad on behalf of UK Athletics, AAA of B, AAW, SAF, NIAF or the regions.
     
    COVER PROVIDED
    Medical expenses abroad£1,000,000
    Additional travel£10,000
    Costs incurred by cancellation£5,000
     
    The following cover also applies to athletes when they are travelling inside the UK to and from major athletics meetings (promotions and championships of UK Athletics together with regional championships and matches):

    As team managers who are in charge of representative team, you are automatically provided with insurance cover related to "athletics activities" (UK, Home Country or territory teams but not including club teams).This not only means training and competitions, but administrative meetings, and functions attended in your capacity as team manager. It does not, however, cover hazardous activities -bonfires, parachuting, bungee jumping etc. even if they are organised at or by an athletics club.
     
    This pamphlet tells you what insurance cover is provided, what to do if you ever need to make a claim, and the additional cover that it would be wise for you to consider arranging personally.
     
    WHAT COVER IS PROVIDED?
    A - PUBLIC LIABILITY & THIRD PARTY INSURANCE

    The amount of cover provided for any one incident is up to £10,000,000, in the case of property damage the first £750 of any claim is not covered.

    The following are examples of where cover would apply, subject to legal liability being proven:
    oAccidental bodily injury to any person.
    oAccidental damage to material property belonging to a third party - for instance damage caused to fences on land being used for a cross country race.
    oAll activities associated with managing the team, i.e. not only training and racing but also administrative meetings, injury or death to participating athletes and officials.
     
    GENERAL POINTS TO NOTE
    oThis is not a personal accident policy, liability for injury or damage has to be established (if an athlete trips over their own shoelaces and breaks an arm, unless they can prove that another athlete or a club was to blame there is n~ cover).
    oThe policy does not provide cover for any loss or damage incurred through use of a motor vehicle, which would otherwise covered by the Road Traffic Acts and therefore be a matter for a claim against the relevant private motor insurance(s).
    oInjury arising from medical or physiotherapy treatment is covered by the practitioners' insurance, not this policy. If injury or damage is caused by a deliberate act or omission there is no cover.
    oDamage to or loss of a team manager's personal property or in the team manager's custody or control may be covered by travel insurance, but is never covered by this policy.
     
    B - PERSONAL ACCIDENT INSURANCE

    - Bodily injury caused to a member of a visiting club.
    - Injury caused through the sale of food and drink as part of club activities.
    - Injury caused as a result of incidental first aid administered.
     
    GENERAL POINTS TO NOTE
    - This is not a personal accident policy, liability for injury or damage has to be
      established (if an athlete trips over their own shoelaces and breaks an arm, unless   they can prove that another athlete or a club was to blame there is no cover).
    - There is no age limit applied to the cover.
    - There is no cover provided when athletes are training independently of their club   (e.g. out for a run at night on their own causing injury to a member of the public).
    - Injury arising from medical or physiotherapy treatment is covered by the practitioners’    insurance, not this policy.
    - If injury or damage is caused by a deliberate act or omission there is no cover.
    - Damage to or loss of an athlete’s personal property may be covered by travel insurance.
     
    B. PERSONAL ACCIDENT INSURANCE 
    This policy covers athletes over the age of 16 years when they are competing in and travelling directly to and from events organised or recognised by UK Athletics, as part of the representative team. Personal accident cover does not depend upon proof of legal liability and, provided that there has been genuine personal injury that was not selfinflicted, benefits will be paid out.
       
    COVER PROVIDED
    Death  £100,000 
    Loss of eye or limb £100,000 
    Permanent disablement £100,000 
    Temporary total disablement per week / 104 weeks up to £100 
    Temporary partial disablement up to £100 per week / 104 weeks 
     
    GENERAL POINTS TO NOTE
    - Temporary Total Disablement (TTD) cover is from the individuals ‘usual occupation’.
    - There is no cover for the loss of earnings for international athletes on GB duty who    become injured.
     
    C.TRAVEL INSURANCE 
    This policy covers athletes undertaking journeys outside the UK as a member of a representative team.
     
    COVER PROVIDED
    Medical expenses abroad £1,000,000 
    Additional travel £10,000 
    Costs incurred by cancellation £5,000 
     
    The following cover also applies to athletes when they are travelling inside the UK to and from major athletics meetings (promotions and championships of UK Athletics together with regional championships and matches):
    Personal property £2,000 per person 
    Money  £500 per person 
     
    GENERAL POINTS TO NOTE
     
    - A £25 excess applies to medical expenses, personal property and money claims.
    - The Policy excludes pre-existing medical conditions known at the time of booking or travel.
    - The Policy excludes persons over 70 years of age.
     
    WHAT ADDITIONAL PERSONAL INSURANCE SHOULD EACH ATHLETE ARRANGE?
    None of the policies provides motor vehicle insurance, personal accident when you are not in a representative team, or personal property in the same circumstances.  The latter may be part of your existing house contents insurance, but you should check with your own broker.
       
    HOW TO CLAIM AGAINST TRAVEL INSURANCE - MONEY / PERSONAL PROPERTY
    - Notify the team manager of the loss immediately and request that the loss is reported   to the organisers (if appropriate).
    - All incidents of theft or disappearance of property must be reported to the local police.
    - Make a note of the circumstances at the time, and list all items that are missing, this will help you when you fill in the claim form.
       
    When the team returns from competition, advise UKA (Operations Team) as soon as possible. A claim form will be sent out which must be completed as fully as possible.
     
    WHAT TO DO IN THE EVENT OF A DANGEROUS INCIDENT OR AN ACCIDENT
      In the case of either a dangerous incident or an accident, please complete the UK
    Athletics Accident & Incident Report Form, and notify Peter Sutcliffe, UK Athletics Health & Safety Co-ordinator.  If this is not available then collect the following information:
     
    - Date & time of accident/incident.
    - Details of the injured person.
    - Name of event and promoter.
    - Description of accident/incident with diagrams and/or photographs if possible.
    - Nature of injuries.
    - Details of any first aid given and named of first aid representatives.
    - Names of other persons present.
    - Details of reporting person.
     
    Copies of the form, or information collected, should be sent to the Health &
    Safety Department at UK Athletics at the address below.
     
    In the event of theft or disappearance of property or valuables, these should additionally be reported to the local organiser and the local police.
